Performs administrative, secretarial and clerical duties for the Human Resource Department and compiles and maintains employee records by performing the following duties:
Essential Functions:
Conduct employee onboarding for new hires which includes creating new hire folders and obtaining all new hire forms required for employment.
Assign ID badges to new employees who work in Carrico, Motherhouse and O'Connell Hall.
Enroll new hires in benefits such as medical, dental, vision and Section 125 plans.
Set up new employees in Paychex for clocking in and out, applying for benefits, etc.
Record employee information such as new hire data, personal data, compensation, benefits, tax data, performance reviews, disciplinary actions and terminations.
Track 90-day reviews, 6-month reviews and annual performance reviews.
Send to supervisors (in advance) notice of upcoming reviews.
Process merit increases for employees.
Collect premiums during unpaid leaves.
Track years of service for vacation changes and personal days.
Create years of service certificates at the end of the year for service awards ceremony.
Prepare and file reports of accidents and injuries; enter all Worker Compensation claims online; manage ongoing Workers' Compensation cases including communicating regularly with employees, physician offices and third-party administrators.
Prepare reports as needed; Annual Worker's Compensation audit report, Census Data required by CHI and bi-weekly 403b reports.
Maintain the online health, dental and vision insurances to accurately reflect new enrollments, changes and terminations.
Maintain all personnel files including filing and purging according to an approved records retention system.
Prepare Notice of Death flyers when employees' family members pass away and distribute the flyer for posting on bulletin boards for all departments.
Serve as liaison to Wellness Committee by attending meetings.
Process end of the month checks for Christian Brothers, Prudential Life and Long-Term Disability, AFLAC, etc.
Reconcile the health, dental and vision reports monthly to the amount deducted from our bank account.
Provide training to Supervisors on the Paychex time-keeping system.
Process payroll for employees bi-weekly which includes:
Setting up Direct Deposit (for new hires and any employee changes) Setting up state and local payroll taxes which includes Community Service in Louisville, KY and Caritas System in Pittsburgh.
Setting up all earnings/deductions for health, dental, vision, life, 403b, bankruptcy, loans, AFLACS, cell phone r4eimbursement, etc.
Setting up sick and vacation accruals.
Ensure timesheets have been approved by Supervisors and verify for accuracy.
Make adjustments to timesheets as necessary.
(Missing clock-ins, missing employee time off, etc.
) Last payroll of each month, deduct Social Security and Medicare for eligible SCNs.
Submit end-of-month checks for Christian Brothers Defined Benefit Plan, Life and Long-Term Disability, AFLAC, Mission Committee Loans, etc.
Serve as backup in the absence of the Human Resource Director.
Other duties may be assigned.

Experience:
Two-year business management degree from college or business school and three years related experience and/or training; or equivalent combination of education and experience.
Must have excellent grammar skills.
Strong computer skills required with good working knowledge of MS Office applications including word processing, spreadsheet, database and presentation software.
Good public relations skills, flexibility, initiative and judgement are necessary skills.
A high level of confidentiality is required.
